1. Who is Collecting Your Information?
The ANC Free State Caucus, acting through the Parliamentary Constituency Office (PCO) of the MPL to whom your query is routed, is the Responsible Party under POPIA. The relevant MPL's PCO will be the primary handler of your personal information.

2. What Personal Information We Collect

We do not require your ID number. Supplying it is entirely voluntary and will not affect how your query is handled.
3. Why We Process Your Information
Your personal information is collected and processed exclusively for the following purposes:
- Receiving and routing your constituency query to the correct MPL and PCO
- Enabling the PCO to follow up with you regarding your query
- Where required, escalating your matter to the relevant government department with your consent
- Maintaining a record of constituency interactions for legislative oversight purposes
4. Legal Basis for Processing
Processing is carried out on the basis of your consent (Section 11(1)(a) of POPIA) as indicated by ticking the consent checkbox below, and on the basis of a legitimate interest in fulfilling the MPL's constitutional and statutory constituency obligations (Section 11(1)(f)).
5. Sharing Your Information
Your information will only be shared with:
- The relevant ANC Free State MPL and their PCO staff
- The relevant government department or entity, only with your prior consent and only to the extent necessary to resolve your query
- No third parties for marketing, profiling, or commercial purposes — ever
6. How Long We Keep Your Information
Your personal information will be retained for a maximum of three (3) years from the date of submission, or until the end of the 7th Term of the Free State Legislature, whichever is shorter. After this period, your information will be securely destroyed.
7. Your Rights Under POPIA
- Right of access — You may request a copy of the personal information we hold about you
- Right to correction — You may request that we correct inaccurate or incomplete information
- Right to erasure — You may request deletion of your personal information, subject to legal retention requirements
- Right to object — You may object to the processing of your information
- Right to withdraw consent — You may withdraw consent at any time, without affecting prior processing
- Right to lodge a complaint — You may lodge a complaint with the Information Regulator of South Africa (see below)

9. Voluntary Participation
Submitting this form is entirely voluntary. However, if you do not provide your name and contact number, we will be unable to process or follow up on your query. Providing an email address and ward number is optional and will not affect how your query is handled.
